Short answer: the fastest and simplest way to reach a London hotel is a pre-booked private transfer, which collects you inside arrivals and stops at the hotel door for a fixed price, from £45 at London City and from £65 at Heathrow. Trains and the Tube are cheaper per person but end at a station, so you still have a walk or a second taxi with your luggage. Rail wins if you are alone with a small bag. A car wins the moment there are two or more of you, a late arrival, or suitcases involved.
Most guides answer the question “how do I get to London”, which is not the question you are asking. Getting to Paddington is not getting to your hotel. The last mile is where arrivals go wrong: the wrong side of the station, a broken lift, a 14-minute walk that looked like nothing on the map. This guide covers the whole trip, from the aircraft door to the reception desk.
Start with the airport you are landing at
London has six airports and they are not remotely equivalent. Where you land decides everything about the journey that follows.

The last mile is the part that catches people out
A rail ticket buys you a journey between two stations. Your hotel is almost never at a station. Before you choose the cheap option, work out what happens after you get off:
- The walk. Eight minutes without luggage is fifteen with two cases and a tired child.
- The change. Most airport rail routes need at least one connection to reach a hotel district, and interchange stations are rarely step-free throughout.
- The second fare. A short cab from the station to the hotel is £10 to £18 in central London, which erases most of the saving.
- The hour. After midnight the Tube is limited outside Friday and Saturday, and you are back to a taxi anyway at the worst possible time to be looking for one.

Landing to hotel door, step by step
- Before you fly, book the transfer with your flight number. That is what lets the driver track the landing and adjust if you are early or delayed.
- Land and clear immigration. Allow 30 to 60 minutes at Heathrow and Gatwick on a busy morning. Your free waiting time starts at touchdown, not when you appear.
- Collect your bags. Do not message the driver before you have them. Everything after this point moves at the speed of your suitcases.
- Walk into the arrivals hall. Your driver is standing there with a board showing your name. No car park level, no rank queue, no app.
- Get driven to the door. The route is the driver’s problem. The price was agreed weeks ago.
- Check in, or leave the bags. If you have landed before check-in opens, reception will almost always store luggage for free.
What to have ready when you book
- Hotel name and full postcode. London has several hotels with near-identical names in different boroughs. The postcode settles it and locks the price.
- Flight number and arrival terminal. Terminals matter at Heathrow and Gatwick, and they occasionally change close to departure.
- Exact passenger count, including children. Child seats are free on request but need arranging in advance.
- Real luggage count. Four adults with four large cases need a people carrier, not a saloon. Check the capacities on our fleet page before you choose.
- A phone number that works on landing. A UK number or a roaming mobile, so the driver can reach you if anything shifts.
London hotel arrivals: the practical details
Arriving before check-in. Most London hotels check in from 14:00 or 15:00. A morning long-haul arrival means several hours to fill, so go to the hotel first, drop the bags at reception, and start your day unencumbered.
Hotels inside the Congestion Charge zone. If your hotel sits in the central zone, the charge applies during charging hours. Ask whether it is inside the quoted price. Ours is.
Streets where a car cannot stop. Parts of Soho, Covent Garden and the City have pedestrianised or one-way approaches, and some hotel entrances have no loading bay at all. A local driver knows the nearest legal stopping point, which is a small thing until it is raining.
Late-night arrivals. Confirm the hotel has 24-hour reception before you land at 01:30. Budget and apartment-style properties sometimes do not.
Multi-stop trips. Dropping one person at a different hotel, or stopping at an office on the way, is straightforward if you say so at the time of booking. Adding it in the car is not.
Families, groups and heavy luggage
This is where the arithmetic stops being close. Four rail fares from Heathrow to Zone 1 come to around £62 before the last leg, against a fixed saloon at £65 to the door. At six people, one 8 seater carries the whole party and the cases for less than the rail tickets alone, with no interchange and no splitting up.
Sports equipment, ski bags, golf clubs, musical instruments and pushchairs all fit if the right vehicle is booked. They do not fit in whatever turns up at a rank. Going back to the airport from your hotel
The return leg is where people underestimate London traffic. Work backwards from the check-in desk, not from the departure time.

Book the return at the same time as the arrival. It is one conversation, one confirmation, and there is no scramble for a car on your last morning. Flying out of a different airport from the one you flew into is common, and cross-airport runs such as Heathrow to Gatwick are fixed price too.

What is the easiest way to get from the airport to my London hotel?
A pre-booked private transfer. The driver meets you in arrivals with a name board, handles the luggage and drives you to the hotel entrance for a price agreed before you travelled. There are no tickets, changes or last-mile walks.
Is a transfer cheaper than the train to my hotel?
Per person, no. Per group, usually yes from two or three people upward, because a transfer price covers the whole vehicle. Add the short taxi most travellers take from the station to the hotel and the gap narrows further.
Will the driver know my hotel?
Yes, provided you give the full postcode at booking. London has multiple hotels with similar names, so the postcode is what guarantees you arrive at the right one and fixes the price to that address.
What if I land before hotel check-in opens?
Most London hotels check in from 14:00 or 15:00 and will store luggage free of charge before that. Travelling straight there to drop the bags is usually better than waiting at the airport.
What happens if my flight is delayed or lands early?
